The nightly matching job
If your EFTPOS terminal and your POS are separate systems, someone has to make them agree every night: EFTPOS settlement total versus POS sales total versus what eventually lands in the bank. When they don't match, you're hunting for a refund, a tip adjustment or a keyed-in error at 10pm.
What auto-reconciliation actually does
With an integrated POS and payments system connected to Xero, every sale is recorded once and flows through automatically:
- Daily sales post to Xero as an invoice or daily summary, categorised the way your accountant set up.
- Payment totals match sales totals by construction — the terminal and the register are the same system.
- GST is captured per line item, so BAS time is a report, not an archaeology dig.
What changes day to day
End-of-day becomes: count the float, glance at the daily summary, lock the door. The hour of matching disappears, and your accountant stops sending you 'please explain' emails about unreconciled deposits.
